What is a hybrid event?

THE HYBRID EVENT

The principle is simple: a hybrid meeting refers to the physical location of the participants. This type of meeting takes place with a more limited group of people, who all attend the meeting in one and the same basic space.

Participants join the meeting by way of a video platform. A sophisticated hardware setup in the basic space ensures that the participants can truly “feel and experience” the basic space from the outside, just as though they were actually physically present.

AN EXAMPLE

You invite as many people as possible to a basic space and allow the other group to take part interactively via a video platform. We can present your own streaming of conferencing platform (Vimeo, YouTube), but it is, of course, perfectly possible to use the client’s platform as well (Zoom, Teams, Webex, Starleaf, etc.). 

The basic space is fully kitted out with automatic or manned cameras (the latter for larger events) that show the speakers perfectly. State-of-the-art microphones ensure passive audio capture.                                                

We also make sure that the experience works the other way round, too, by giving the external participants as much opportunity as possible to communicate with the basic meeting space. We achieve this by setting up display monitors, cameras, microphones and speakers around the central screen – they are also distributed around the basic space – in order to amplify the feeling of “virtual togetherness”. That way, it seems as though every participant, wherever he or she happens to be, is actually “present” in the basic space.

Interaction with external participants can be made to happen via live video, for smaller meetings, or via chatbox or special event apps (such as Slido or Mentimeter), with which Auvicom can also provide you with flawless guidance. We usually work with a moderator in these instances.
